Waiting to check your inbox at the end of the day can lead to missed opportunities or delayed responses.
To bridge this gap, we are thrilled to introduce automated, real-time SMS check-in alerts in Equipment Tracker Pro. This powerful new update sends instant text notifications directly to your phone when a technician scans a building's check-in QR code. Whether you're in the field, in a meeting, or off-site, you'll receive a text notice containing the visitor's name, company, check-in purpose, and a timestamp the second they check in or out.
Understanding the Carrier Consent & Opt-In Workflow
Sending automated text messages to mobile devices is subject to strict carrier regulations and A2P 10DLC compliance standards. Mobile carriers block unsolicited automated text messages to protect consumers from spam. Under modern compliance guidelines, consent must be explicitly established via a secure online form before the first welcome text is ever sent. Senders can no longer use text messages themselves to solicit or request that consent.
To ensure full regulatory compliance, we designed a dedicated public-facing SMS Opt-In Consent Form at equipment-tracker.com/sms-opt-in. Before you can register a technician or vendor's phone number in your building's alert list, the technician must visit this public page. They enter their name, company, and phone number, and check an un-preselected checkbox to explicitly authorize automated check-in notifications. This secure digital record protects your facility operations from compliance issues and guarantees message delivery.
How to Enable SMS Alerts for Your Buildings
Activating SMS alerts for your facilities is a straightforward process once consent has been registered. Open the Check-In Settings panel for any building โ accessible either from the mobile app (under Site Info) or from the web dashboard. Enter the phone number into the Notify Phones (SMS) input field. The system automatically normalizes the number and queries the Firestore database to check if an active consent record exists.
If the technician has completed the opt-in form, their number is registered. If the number does not have a registered consent form yet, the dashboard will display a warning indicator next to it. This indicates that notifications are temporarily blocked until the technician completes the online form, ensuring no compliance rules are violated. You can copy and share the direct opt-in link right from the settings panel to help technicians register quickly.
One-Time Welcome Confirmation and Opt-Out
When a phone number is first added to a building's notification list, our server sends a compliant welcome message: "Equipment Tracker Pro: You have successfully opted in to receive vendor check-in alerts. Msg frequency varies. Reply STOP to unsubscribe, HELP for help. Msg&data rates may apply." This confirmation text is only ever sent once per phone number.
Recipients have complete control over their subscription. They can reply STOP, QUIT, CANCEL, or UNSUBSCRIBE at any time to instantly revoke consent and stop receiving notifications. The server records this opt-out status, and the dashboard immediately updates to show a blocked icon next to their number. If they choose to re-enroll later, they must re-submit the online consent form, but they will not be spammed with duplicate welcome texts, keeping the user experience clean and professional.

SMS alerts are designed to work seamlessly alongside our pre-existing email notification lists. Facility managers can configure a mix of team email addresses and mobile numbers per building, tailoring the alerts to their team's specific communication preferences.
