📇 Customer Equipment and Service Records: One List Per Machine

A customer asks what you did last time, and the honest answer is usually "let me check the truck". Tracking customer equipment and service records is not a CRM problem — it is a question of whether one machine has one list attached to it, in date order, that somebody standing in front of that machine can read.

A building engineer stops you in the corridor and asks whether the compressor on RTU-4 was replaced or rebuilt, and when. If the answer lives in a photo of a paper ticket on a phone that has since been replaced, the honest answer is that nobody knows.

Every version of this problem is the same problem. It is not that the work was not recorded — it usually was, three times, in three places. It is that no single machine has one list attached to it that a person standing in front of that machine can read.

Who the customer actually is

There are three parties on a commercial job and they get flattened into one word — "customer" — constantly, which is where most record-keeping goes wrong.

The property owner is who you invoice. In Equipment Tracker Pro an owner is a record in its own right: name, contact, phone, email, address. One owner can own several buildings, and buildings point at the owner rather than each carrying a copy of their details, so correcting a phone number once corrects it everywhere. That is the difference between a record and a block of fields you paste around.

The property manager is who a technician standing in a plant room calls. That is a separate contact block on the building, and it is deliberately the one that reaches a public page — the owner never appears on anything a stranger can scan.

The tenant is who reports the fault. A tenant belongs to a unit, not to the building, and what they send arrives as a request for you to accept rather than as an entry in your history.

Keeping the three apart is not bureaucracy. It is what lets you bill the owner, publish the manager, and still know which suite the complaint came from.

What belongs on the equipment record

The specifications first, because they are the part that gets unreadable: manufacturer, model number, serial number, refrigerant type and factory charge, voltage, phase, MCA and MOP, install date, and the filter and belt sizes the unit actually takes. Photograph the nameplate while it is still legible and the record outlives the plate.

Then the things that hang off it. The parts fitted to that unit, with sizes and the stock you hold. Photos of the install, the failure, and the repair. Its location inside the building — floor, room, unit number — because "the one on the north side" is not a location eight months later.

The equipment type list opens with the HVAC shapes and ends with Other, where you type your own. A booster pump, a water heater, an exhaust fan or a distribution panel is tracked exactly the same way, with the refrigerant fields simply left empty.

The service record is the part that earns its keep

One machine, one date-ordered list. Maintenance logs with what was done and who did it — your technician or an outside vendor, named. Work orders that finish as history rather than as a second database. Refrigerant charges with the annualized leak rate calculated as you record them, which matters now that the applicability threshold is 15 pounds rather than 50. Parts replaced, with the dates that start the next interval. The PM schedule that says when the unit is due again.

This is what a customer is asking for when they ask what was done last time, and it is what a new technician needs before they open a panel on a unit they have never seen.

It is also the answer to the question nobody enjoys: whether this unit has now cost more in repairs than it would cost to replace. That is a question about a list, and it can only be answered by a list that is complete.

Getting one unit back on screen

Scan the tag. If the unit carries a QR code you printed, a camera settles which of the four identical pumps you are looking at in a second, and no typing is involved.

Type the serial. It is the identifier your records share with a warranty portal, a parts counter and a manufacturer lookup. The phone’s main search box matches on equipment name, manufacturer, model number, serial number and the filter and belt sizes recorded on the unit, and returns matching spare parts as their own results. The search inside a building is wider: notes, equipment type, location, floor, unit number, out-of-service reason and asset tag. On the web dashboard, Ctrl+K jumps to buildings, to equipment by name, serial, model or type, and to parts by name or part number.

Search whatever survived. Sometimes the serial is gone and the model is not, and a manufacturer plus a filter size still narrows four pumps to one.

Letting the customer read it without giving them your account

A printed QR tag on the unit opens a read-only page: the specifications, a banner naming the building and address, the installed parts with their sizes and spare counts, and the service log with technician and vendor names. No account, no app, no login.

What it never shows is your money. Cost, labor hours, labor rate and materials cost are not published on that page, on any tier. The customer sees what was done. What it was billed at stays on the invoice, where it belongs.

When you do bill it, the invoice is raised off the finished work order or PM visit and addressed to the SITE, the OWNER, a TENANT, or an address you type in once for that invoice only — which is the same three parties again, kept apart on purpose.

Enter the building and its owner once

The owner is a record, not a set of fields on a building, so entering them once covers every site they own. The manager contact is separate and is the one that reaches a scanned page.

Photograph the nameplate before it gets worse

The plate is the part that becomes unreadable, and a photo of it is worth more than a typed field you are not sure about. AI nameplate scanning fills the fields from that photo when you have signal; ten scans are free to try.
