Receipt Scanning Scan the Receipt, Bill the Parts
Typing a receipt in is free. The AI reading uses your 10 free AI scans, shared with the other AI scanners, then it is Pro. The web dashboard and receipt photo backup are Pro.
The parts you pick up at the supply house are money you are owed. Photograph the receipt and the AI reads each line, the tax and the total. You say which lines the customer pays for, file the receipt to the location and the job, and those lines are waiting on the next invoice for that location.
Scan it, or type it in
On the phone, open Invoices & Receipts, tap RECEIPTS, then the green +. Choose SCAN A NEW RECEIPT to take a photo, SCAN ONE FROM THE GALLERY for a photo you already have, or TYPE ONE IN.
From an open work order, PM or plan visit, ADD RECEIPT does the same and files the receipt to that job.
The AI reads the store, the date, each line, the tax and the total. Everything it fills in stays editable. If you typed lines in before adding the photo, READ IT reads the photo when you ask, so nothing you typed is replaced without asking.
Reading a receipt needs cellular or Wi-Fi, because the AI does not run on the phone.
Billable, business or personal, line by line
Every line gets one of three marks. Billable lines are for the customer and go on an invoice. Business lines are kept for your records and taxes and are never billed. Personal lines are yours.
One trip can cover two customers, the shop and a sandwich. Mark each line for what it was, instead of splitting the receipt.
Filed to a location, attached to the job
Every receipt is filed to a location under FILED TO LOCATION, and it cannot be saved without one. That is what lets an invoice for that location find it.
It can also be attached to the job it was for: a work order, a PM or a plan visit. On that job, the receipt shows under its receipts.
Put the parts on the invoice
On an invoice for that location, + ADD WORK OR RECEIPT lists the Billable lines under SAVED RECEIPTS (PARTS). Tick them and they become part lines on the invoice.
Parts go on at what you paid. If your shop charges a set percentage over cost for parts, set PARTS MARKUP (%) once in Settings; left at 0%, parts are billed at cost. PARTS MARKUP ON RECEIPT LINES (%) and APPLY TO RECEIPT LINES change it on one invoice.
A receipt line that is already on an invoice says Already billed on, with that invoice’s number, so a part is not billed twice.
What is free, and what it does not do
Typing a receipt in, marking lines and billing them are free in the app. The AI reading uses the 10 free AI scans every registered account gets, shared with nameplate, condition, invoice and diagnostics scans; after those it is Pro. Backing up receipt photos to the cloud is Pro, and so is the web dashboard’s Receipts page.
Receipts are handled by the account owner and by managers, the same people who bill.
There is no year-end tax summary and no QuickBooks or Xero export. Business lines are kept on the receipt for your own records.

How many receipts can I scan for free?
Every registered account gets 10 free AI scans in total, shared across all the AI scanners. After that, reading a receipt with the AI is Pro. Typing a receipt in is always free.
Can I scan a photo I already took?
Yes. SCAN ONE FROM THE GALLERY reads a receipt photo you already have.
How do the parts get onto the invoice?
Mark the lines Billable and file the receipt to the location. On an invoice for that location, + ADD WORK OR RECEIPT lists them under SAVED RECEIPTS (PARTS). Tick them and they become lines.
Can I charge a markup on parts?
Yes. PARTS MARKUP (%) in Settings is the default, applied to receipt lines when they go on an invoice. You can change it on one invoice with PARTS MARKUP ON RECEIPT LINES (%).
What happens to lines I mark Business or Personal?
They stay on the receipt and are never billed. Business lines are kept for your records.
Does it work without a signal?
You can type a receipt in and file it with no signal. Reading a photo with the AI needs cellular or Wi-Fi.
